Overview of Frank R. Seaver College of Science and Engineering Student Travel Support
The Seaver College of Science and Engineering has a limited amount of funding to support student travel to conferences, academic/engineering competitions and other similar events. The funding falls under three general categories.
Individual Student Travel
An individual student who would like to travel to a conference to present a poster, give a talk, for general academic/professional enhancement, etc. may request funding from the College. The student should begin the process of discernment about travel to a conference in consultation with her/his academic/research advisor. Once the advisor endorses the travel in principle, the student should fill out the College’s Student Travel Request Form.
The academic/research advisor will need to endorse such a travel request and should approach the student’s department chair about contributing towards the student’s travel expenses. Once the department chair has endorsed the form and provided the necessary information about contributing towards the student travel, the form can be sent to the Center for Student Success (electronically firstname.lastname@example.org or physically delivered to Pereira 100). Applications are accepted on a rolling basis, but note that the request must be received at least one month before travel is to take place. Note that College funding is limited to registration fees, travel & lodging expenses; funding for meals is not provided. Other types of expenses would be considered on a case-by-case basis.
The Center for Student Success will make the final decision on funding based on several factors including availability of funds, whether or not the student is presenting/competing at the event, and previous amount of travel provided the student. The student will be notified of funding within two weeks of receipt of the travel request form.
Student Organizations Requesting Travel or Other Funding
Seaver College Student organizations requesting travel or other funding for their members to participate in a conference/competition/event should submit the Student Organization Travel Application to the Center for Student Success. The application should be received by 30 November of the academic year for which travel funding is requested (e.g., Thursday, 30 November 17 2017 for the 2017-18 academic year). The Center for Student Success will make the final decision on funding based on several factors including availability of funds, the level of engagement by the organization’s members at the event, and previous amount of travel provided the organization. The organization will be notified of funding within two weeks of receipt of the travel request form.
Faculty Requesting Travel for a Group of Students
Faculty members that wish to request travel funding from the College for a group of students (whether to attend a conference/competition or for a class) should approach their department chair with the specifics of the travel request described in writing; i.e., purpose/reason for travel, location, mode of travel, number of students, estimated cost, etc. The department chair should then bring the request to the Associate Dean for Faculty/Staff Development & Student Success. Requests will then be considered by the Associate Dean in consultation with the Dean. The request must be received at least one month before travel is to take place.
